EcomClose provides bookkeeping, month-end close, and financial reporting services to ecommerce businesses. This policy explains, in plain English, what information we collect, how we use it, and how we protect it.

What we collect

  • Contact details you send us, such as your name, email, company name, and anything you write when you email us or book a call.
  • Client financial data needed to do the work, such as accounting records, bank and card statements, and Shopify, payment processor, and marketplace reports.
  • Basic website data that our hosting provider may log automatically, such as IP address, browser type, and pages visited.

How we use it

  • To reply to you and schedule calls.
  • To deliver the services you engage us for: bookkeeping, reconciliations, month-end close, reporting, and FP&A.
  • To send invoices and keep basic business records.

We do not sell your information, and we do not use it for advertising.

How we protect client data

  • Confidential. Client data is used only for your engagement and is not shared outside it, except with service providers we need to do the work (for example, your accounting software or secure file storage) or when required by law.
  • Read-only where possible. We ask for read-only access to your systems wherever the platform allows it, and only the access the work needs.
  • Not used to train AI. We use AI tools to work faster, but no client data is used to train AI models.

Where data is handled

EcomClose is based in the Philippines and serves clients in the United States and elsewhere. Your information may be accessed from the Philippines and stored with the cloud services we and you use. We handle personal information in line with the Philippine Data Privacy Act of 2012.

How long we keep it

We keep client records for as long as the engagement lasts and afterward only as long as needed for legal, tax, or business-record purposes. When the engagement ends, you can ask us to return or delete your data, and we will remove our access to your systems.

Your choices

You can ask to see, correct, or delete the personal information we hold about you by emailing [email protected].

Changes

We may update this policy from time to time. The date at the top shows when it last changed.
